The Project Office Co-Ordinator will perform a key role in ensuring the governance is upheld for Programmes and Projects through the Operational Change & Transition (OCAT) Team before being handed into Operations. Operational Change & Transition Team is critical for ensuring that any change into Operations lands with minimal disruption. OCAT exist to protect & prepare Operations for all changes.

on behalf of assigned programmes and projects – working closely with OCAT
· Programme/Project Lead to ensure quality and standards are adhered to.
· Organising, attending and participating in programme & project update meetings and other key events.
· Acting as secretariat in appropriate meetings when required: o Recording, distributing and chasing minutes
o Action and decision logs
o Preparing appropriate materials for inclusion in key programme and project meetings.
· Responsibility for shared mailbox:
o Monitoring and actioning emails
o Setting up meetings
o Sending emails from shared mailbox
· Supporting coordination of reports in a timely manner with managers to review and sign off in line with DCC governance and reporting cycles.
· Supporting new Project Office Co-Ordinator onboarding and offboarding activity ensuring appropriate introductions, access, training, and practice / programme induction is planned and delivered effectively.
· Representing team members in meetings in their absence.
· Chasing up deliverables, dependencies & inputs for OCAT Practice Development Support
· Supporting delivery practice resource management and planning activities.
· Supporting practice recruitment, onboarding and capability and professional development processes.
· Supporting continuous improvement initiatives and transformation activities across the delivery practice.
· Acting as secretariat in key practice meetings when required – recording, distributing and chasing actions and decisions.
What are we looking for?
· 2+ years’ experience in a programme or project related field (e.g. project co-ordinator, PMO)
· Self-starter with ‘can do’ approach, able to work independently and as part of a team in a dynamic, fast-paced environment.
· Exceptional organisation skills, with the ability to prioritise across multiple conflicting project demands.
· Strong communication both written and verbal and collaboration skills – ability to work effectively across internal and external teams.
· Ability to influence and drive improvements to project quality and ensure alignment with DCC standards and methodology.
· Demonstrable experience of working in a similar programme and project environment within a technology industry
· Competent in using Microsoft suite of tools including Outlook, Word, PowerPoint, SharePoint, Excel, Teams and working knowledge of MS Project Desirable
· Experience of using a PPM toolset to manage plans, resources, risks and issues.

· Work collaboratively with external stakeholders/Users/Customers.
· Analytical with ability to solve problems, prioritise conflicting demands.
· Effective communicator – both written and spoken.
