We are seeking a Team Assistant to join our team in London The successful candidate will be an essential member of the team on many of our client search mandates, and will act as the the critical connector who ensures the search process runs smoothly and efficiently for both candidates and clients. This role will work with our Paris team, London based, and requires fluent conversational and business French language skills. The critical components of this role include providing support to our Partners and Delivery Team, and working on client mandates. Progression path includes, but not limited to the following: Executive Assistant, Senior Executive Assistant and/Associate level (research). After that, the choice to continue within Admin, Research, Marketing, HR or Operations is yours to take. Responsibilities of the role include:
Support to Partners:
* Calendar management to a number of partners across France and other international offices
* Providing ad hoc data entry & travel support to Partners and delivery team members
* Scheduling global internal appointments / calls
* Booking in client calls and meetings as required
* Arranging extensive domestic and international travel and accommodation for business trips
* Supporting with business development packs for client meetings
Working on Client Mandates:
Managing several projects at various stages at any given time
* Taking full responsibility for booking in candidates for interviews (video-conferences, calls and face to-face meetings) with high profile clients
* Arranging preparation calls for candidates with members of the H.I.E.C team
* Booking domestic and international travel and accommodation for candidates as required
* Formatting of CV’s, candidate reports, job specifications and reference reports
* Updating/maintaining company database with all candidate/client meetings that have been scheduled
* Although not needed, experience as an Executive Assistant or other admin role is ideal, although other experience as an assistant, receptionist, retail/sales associate, or similar would also be applicable.
* Process driven, with a high attention to detail and the ability to prioritize and multi-task
* Ability to handle a high volume of communication from internal and external stakeholders
* Excellent communication skills, as this role is a frequent point of contact for both candidates and clients
* Accountability, flexibility, and willingness to take ownership. Time management critical
* ‘IT savvy’ with excellent working knowledge of MS applications (including Outlook, Excel, PowerPoint and Word) and ability to troubleshoot and problem solve
* Bright and friendly attitude with the ability to judge when it is time to settle down and work hard in a very busy and dynamic office environment
The candidate will be based in or London office and from time to time, maybe required to travel to our Paris office. This is a hybrid role, requiring 3 minimum office days and 2 days home based.
