Job Title: Fleet Administrator Location: North Shields Pay: £31,294 Benefits Shift: Monday to Friday -8am -4.30pm or 9am-5.30pm – hybrid working available 3 days in office 2 days at home About your new company A well-established commercial vehicle repair centre with depots across the UK, they have a diverse fleet of vans, trailers, excavators and 44 tonne tankers with over 5,000 vehicles in their fleet. My client is an inspiring company to work for who invest heavily in their employees, ensuring a supportive and inclusive workforce. They have been well established for over 20 years, they are a secure company owned by 2 utilities and are now looking for a Fleet Administrator to be based at their head office in North Shields. Key Responsibilities and Accountabilities: Customer Service Arrange short term hires for the customer and keep them updated of the progress. Co-ordinate short term hire insurance claims with the relevant customer departments when required. Review the fleet management shared inbox ensuring customers are responded to in a timely manner. Fleet Management Activity Work within department KPI’s. Manage internal / external e-mails and Telephone enquiries Manage all aspects of invoices including invoice queries received Provide authorisation to external workshops, record the job information on the fleet management system. Take ownership of customer hire issues that have been raised directly from a workshop to ensure the customer is fully informed of progress. Review Compliance Manager and record status information against events; escalating where necessary. Make vehicle bookings with external workshops; track these bookings and notify the customer or supplier of any changes. Tracking of the monthly vehicle schedule for both internal and external workshops and notify the customer of any late events. Deliver effective control of vehicle event dates when moving dates forward in the fleet management system. Arrange short term hires for both internal and external vehicles. Record hire vehicle damage in the fleet system to ensure costs are appropriately charged. Month end review of all daily hire data ensuring no blank fields and vehicles are up to date. Manage the internal short term hire fleet, moving vehicles between sites when required. Audit supplier service, quality and cost; rectifying any supplier issues. Manage vehicle recalls. Record vehicle movements in the fleet system. Quality check event documentation (MOT, Loler certificates etc.) Management of V5 documents. Produce Excel reports as required. Health and Safety Work with the Integrated Management System and ensure compliance with procedures. Ensure compliance with my clients Information and Data security policies and procedures. Communications Communicate all relevant information to the appropriate departments. Report appropriate information to the line manager.
