About the job Job summary About this Role : We are recruiting two roles which will provide comprehensive support to up to two head of functions and other managers, when required. Customer and Business Development The Customer and Business Development directorate consists of three areas: Customer Experience, Business Development, and Communications and Engagement. This role holder would support the Head of Business Development and the Head of Communications and Engagement. Digital, Data and Technology Our Digital, Data and Technology directorate consists of the following departments: Data Office, IT, Product, Business Analysis and Agile, and User Centred Design. Our directorate manages the products, digital IT security and workplace services and data and analytics on behalf of the business. Job description Your main duties will include: Providing executive support services to heads of function(s). Plan and arrange meetings, diary management, minute taking, compiling agendas and follow up actions etc. Mailbox management and triage. Support minute taking, agenda creation, paper deadline tracking and action tracking of governance groups. Arrange and support facilitation of meetings, team events and workshops. Create action logs, tracking and delegating tasks, ensuring all deadlines are met. Prepare documents, templates and presentations. Act as a liaison between heads of function and the wider business. Maintain department pages on RoSnet and internal materials such as team organigram. Ensure familiarisation of RoS policy and procedures to support head of functions. Act as Budget Liaison Officer for each area. Arrange purchase orders using our internal system (PECOS), as and when required. Comply with GPC spend and authorisation process within relevant budget codes, as and when required. Act as Department Learning Coordinator; capturing, plan and book Directorate learning needs. Provide administration support for escalated complaints and coordination of complex correspondence, adhering to deadlines. Create travel requests and office bookings. Provide support with joiners and leavers (staff). Help manage centralised team mailboxes and calendars. Provide general support to other managers within the department as required.
