To aid our wonderful team of designers and architects, we are seeking a highly organized, proactive, and friendly Office Administrator to join our dynamic team. As an Office Administrator, you will play a key role in maintaining an efficient and welcoming work environment.
Key Responsibilities:
* Office Management: Maintain an organized office environment, ensuring smooth day-to-day operations.
* Communication: Handle phone calls, emails, enquiries, and general correspondence, ensuring timely and professional responses.
* Scheduling & Calendar Management: Schedule and manage appointments, meetings, and events for team members and leadership.
* Administrative Support: Provide administrative support to staff, including document preparation, filing, and database management.
* Supply Management: Monitor office supplies, restocking as needed, and liaise with suppliers.
* Visitor Coordination: Greet visitors, assist with inquiries, and provide a positive first impression of the company.
* Records & Filing: Maintain electronic and paper filing systems, ensuring documents are organized, confidential, and up to date.
* Invoice & Expense Management: Assist with processing invoices, expense reports, and other financial documentation.
* Human Resources Support: Help with onboarding new staff, maintaining employee records, and assisting with other HR-related tasks as needed.
Key Requirements:
* Proven experience as an Office Administrator, Receptionist, or similar role.
* Strong organizational skills and attention to detail.
* Excellent written and verbal communication skills.
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office equipment.
* Ability to multitask and manage time effectively in a fast-paced environment.
* Strong problem-solving skills and ability to work independently.
* Friendly, approachable, and professional demeanour.
* Prior experience in an administrative or office setting is a plus.
