An exciting opportunity has arisen within the Trauma & Orthopaedic Directorate's Spinal Administration Team. The post holder is required to support the Medical Secretary Team Leader in the delivery of a comprehensive administrative service to a specialty team. This will involve inpatient waiting list management for a specialty, in accordance with the Patient Access Policy, communicating appointment and admission related information to patients and carers, and typing correspondence and/or transcribing and typing up of minutes as appropriate.
Main Duties of the Job
The post holder will take direction from the Medical Secretary Team Leader and Operational Services Manager for the day-to-day running of the service. The post holder will have work delegated to them by the Medical Secretary Team Leader and will be responsible for their own time management and will prioritise their own workload ensuring that clinical letters are accurately typed in chronological order/clinical priority. The post holder will need to be able to work well under pressure and concentrate in a busy work environment.
Responsibilities include:
1. Supporting the Medical Secretary Team Leader and specialty team in the delivery of inpatient waiting list management, taking into account application of national RTT rules and assisting in the appropriate utilisation of theatres.
2. Sorting and distributing incoming/outgoing information in a timely manner and ensuring that patient notes are requested and provided promptly.
3. Liaising with the medical team and appointments department to arrange, cancel or alter clinical commitments to contribute to the smooth running of the department.
4. Communicating information, both written and verbal, with patients, staff, and carers requiring tact and diplomacy.
5. Handling telephone and other communications with sensitivity and confidentiality using personal judgement and acquired knowledge to assess each situation and deal with it accordingly.

Person Specification
* Good General Education to include GCSE English or equivalent
* Word processing or equivalent experience
* Secretarial/clerical background
* Knowledge of Microsoft Office Packages
* Good communication skills
* Ability to work in a demanding, pressurised environment
* Team player
* Previous experience working in a Healthcare environment
* Knowledge of medical terminology
* Knowledge of the Hospital EPR Systems
* Able to use own initiative
