About the role:
Join Sword Group as a Document Controller and make a significant impact on our documentation processes. In this pivotal role, you will orchestrate the management of our document systems to ensure they are consistently updated and optimised for efficiency. Your responsibilities will include meticulously overseeing the flow of critical documents, ensuring their accurate storage and seamless accessibility. By providing crucial support and training to our team, you will empower them to navigate our systems effortlessly, thereby enhancing overall operational effectiveness.
This Document Control role is embedded within our customer's Document Control team. Your meticulous attention to detail will play a key role in ensuring strict adherence to industry standards, fostering a culture of compliance within our organisation. Additionally, your innovative approach will drive continuous improvement initiatives across our document management processes, contributing directly to the efficiency and success of our projects within the Energy, Public, and Finance sectors.
Here's what the role looks like:
1. Update Electronic Document Management System to ensure documentation adheres to work instructions
2. Manage hard copy documentation on both onsite and offsite archive locations, in accordance with Document Schedules to preserve evidential information that can be sourced when required
3. Capture and share high value, final version documentation in EDMS to preserve corporate memory and improve search and future retrieval
4. Distribution of safety critical documentation to ensure complete, accurate and quality information is available at all locations and in emergency situations
5. Seek continuous improvements in process to improve efficiency in technical and company management system documentation
6. Track and manage information to establish accountability and traceability
7. Deliver front line support for information queries to facilitate business requirements
8. Audit controlled documents to ensure integrity and confidence in the documentation held
9. Ensure Information flow effective between end user and management system
Requirements

10. Document Control knowledge and experience gained within the energy sector
11. Good written and verbal communication skills
12. Proven experience in the use of electronic document management systems (EDMS)
13. Motivated self-starter, ability to work on own initiative
14. Methodical and organised, with good attention to detail
15. Knowledge of engineering and design documentation types
