Position:
An exciting opportunity has arisen for a Personal Assistant based at Ailsa Hospital/Hybrid.
What you will do:
You will provide high-level secretarial and administrative support, ensuring the Director’s time is effectively managed, and all business operations run smoothly.
You will be an integral part of the Directorate's business support team, overseeing and coordinating administrative functions to ensure efficiency across the department. Additionally, you will manage the secretarial staff, ensuring that all administrative tasks are executed to a high standard.
Key Responsibilities:
* Provide comprehensive administrative and secretarial support to the Director, managing their calendar, priorities, and day-to-day activities.
* Collaborate with senior leadership and key stakeholders to prepare the Director for meetings, events, and decision-making processes.
* Act as a gatekeeper for the Director’s time, exercising discretion and influencing scheduling decisions to align with strategic priorities.
* Coordinate meetings, prepare agendas, take minutes, and ensure follow-up actions are completed.
* Oversee and support the wider business support team, ensuring all administrative functions are carried out efficiently.
* Maintain confidentiality and manage sensitive information with the utmost professionalism.

Knowledge, training and/or experience required to do the job:
* A degree in a relevant field is preferred, though candidates with at least 3 years of relevant experience, including some at a senior management level, will also be considered.
* Strong communication skills, both written and verbal, with the ability to liaise effectively with senior leaders, stakeholders, and team members.
* Demonstrated ability to work independently and as part of a team, showing initiative and proactive problem-solving skills.
* Proficiency in Microsoft 365 and Teams.
* Strong organisational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.

Hours:
37 hours per week.
Hybrid working: This role offers flexibility with a mix of office based and remote work, requiring 1–2 days in the office per week.
