Job Purpose : To contribute to the smooth running of the Company’s reception area, ensuring all duties are conducted accurately and in a timely manner. Key Accountabilities & Responsibilities : Provide visitors and clients with a professional and courteous welcome, signed in and out of the visitors’ book and complete confidentiality documentation as required. Take incoming calls on the Avaya One-X Attendant phone system, ensuring calls are dealt with quickly and in an appropriate manner. Control the fob access system including: Issuing badges fr new starters, visitors including contractors and colleagues who have forgotten their fobs, ensuring restricted access controls are approved. Taking phtos of new starters and producing their photo ID card. Ensuring the Starter, Mver, Leaver process is adhered to updating PACS system and relevant spreadsheets. Prducing monthly access reports for audit purposes. Weekly co-ordination and allocation of on-site parking. Undertake Health & Safety related duties including: Maintenance f the DSE Assessment Log, ordering and issuing DSE equipment and updating the log for all UKDS sites. Weekly testing of the Hull Fire Alarm with Facilities Assistant Ensuring sanitizing statins are stocked in Facilities Assistant’s absence Update all H&S psters for all UKDS sites. Record all stationery requests for all UKDS sites on the Stationery Log along with stock controlling, liaising with suppliers on procurement and costs and placing orders in a timely manner. Undertake Facilities related duties including: Ensuring all faults are lgged on the FM-R spreadsheet and contractors reports are filed accordingly. Liaising with FM and updating the Measuring Envirnmental Impact spreadsheet. Lgging and initial check of UKDS invoices. Cllating Certificates of Destruction for secure waste management suppliers. Liaising with all Facilities team members at UKDS sites. Knowledge, Skills & Experience: Previous experience of working within a reception or high volume call taking environment is desirable, but not essential. Experience in dealing with suppliers of goods and services and the general public would be advantageous. Excellent communication skills is a must, with an ability to positively interact with colleagues, customers and visitors. Able to demonstrate high levels of planning, prioritisation and organisational skills. Good knowledge of Microsoft office, specifically Word, Excel, Power point and Outlook. Ability to work confidentially with integrity and discretion. What happens next?
