Finance assistant We are seeking a dedicated Finance and Membership assistant to support both our Finance and Membership teams. This role is crucial for maintaining the efficiency and smooth-running of our finance operations and providing effective administrative support to our Membership team. Day-to-day of the role: Finance Helping the Finance Manager accurately maintain and process the purchase ledger including the accurate processing and allocation of all payments (the company credit card, expenses, petty cash, outgoing Direct Debits and Standing Orders). Inputting invoices into Sage with the correct nominal and account details and preparing, alongside the Finance Manager, the payment runs. Reconciling some balance sheet accounts, including the bank accounts, credit card, petty cash, payroll, and other creditor accounts. Helping the Finance Manager in the accurate processing of income and the overall maintenance of the integrity of WLS’ Trial Balance (books and records), including generating invoices and analysing outstanding debtors. Reconciliation of bank accounts and assistance with the maintenance of the books and records of WLS Regular banking of cheques received and processing of credit card receipts, standing order and direct debits. Correct allocation of all receipts in debtor’s ledger in Sage/database (credit card, standing orders, cheque receipts) Generating invoices for all ad hoc income. Reconciliation function: of standing order receipts, credit card and direct debit receipts to bank statements, processing of Direct Debit instruction and BACS function Maintenance of general debtor’s/member’s ledger, (working closely with membership officer) in monitoring aged debt, and following through collection of outstanding debts Support Finance Manager/ Director of Finance as directed with Finance responsibilities and providing administration support (including scanning and filing) to the team as and when necessary. Required Skills & Qualifications: Experience in finance and administrative roles, preferably within similar settings. Proficient in using financial software, particularly Sage 50. Strong organisational and time management skills. Excellent communication and interpersonal skills. Ability to handle sensitive information with discretion. Keen attention to detail and a proactive approach to problem-solving.
