Introduction to the Role
We are looking for a passionate candidate whom can add value to our team and whom we can truly get behind to help develop as an individual. Our Operations Assistant Apprentice will support our Operations Manager and existing On-Site Services and Property Management team scheduling and overseeing a range of maintenance and cleaning services including anything from general day to day maintenance, larger scale maintenance projects and our regular ongoing cleaning schedule.
This position is suitable for persons with a background in Operations Management (or a similar role) for at least 1 year and can demonstrate or has a keen interest in the field,
Reporting the Operations Manager the successful candidate will demonstrate ability in the following:
Industry Experience - Proven work experience as Operations support or similar role, preferably in the cleaning/maintenance industry.
Leadership – support the Maintenance/Cleaning team to achieve organisational goals.
Communication – ensuring that communication is ongoing and effective between different departments.
IT – keeping up to date with IT systems in the workplace while having an understanding of emerging technologies.
Presentation – Presenting ideas and results to different stakeholders across the business including staff and senior management.
Team working – fostering an environment of teamwork to ensure that all products are delivered on time and company goals are met.
Initiative – The ability to work alone and take a lead when hurdles arise or when tasks require completion.
Planning & Organising - staying ahead of the game and ensuring that plans for the future are clearly labelled out for everyone to follow using works planners and scheduling. Must have good organisation skills.
Problem Solving – adapting to the ever-changing environment and reacting quickly to meet challenges.
As an Operations Assistant Apprentice at AM you can expect to undertake the following duties:
- Support the Daily management of the On-Site Services teams including briefing, managing the collection of cleaning and maintenance tools and materials, vehicle collection and maintenance.
- support the Organising and scheduling cleaning and maintenance rotas and works planners
- support the Procuring and organising of all cleaning/maintenance materials and tools pre-empting requirements in advance of when they are needed by the teams.
- support the Building relationships with key suppliers to ensure the smooth running of the Operations team
-support in Keeping progress/status of all jobs entered on the company reporting system whilst delegating tasks efficiently and providing updates as necessary for all works carried out.
- support the team so that all cleaning/maintenance targets are met.
- Provide administrative support to the operations team
- Perform data entry and maintain accurate records
- Assist in organizing and scheduling meetings, appointments, and travel arrangements
- Answer phone calls and respond to inquiries in a professional manner
- Assist with office organization and maintenance
- Coordinate and distribute internal communications
Experience/Qualifications:
- Prior Operations Management Experience Preferred
- Experience supporting a small team
- Production and Planning Skills Required
- Experience working to budget and meeting targets
- Ability to Manage Time and Workload Effectively
- Drive to Achieve Results
- Understanding of Procurement and Stock Management
- Excellent communication skills.
- Experience in Negotiating and Working With Suppliers
- Ability to Engage and Motivate Others
- Ability to Work in a Team Environment
- Strong Problem-Solving Skills
- Highly Organised
- Must be friendly and have a professional attitude.
- Must have excellent spoken and written English skills.
