Job Purpose
The Office Manager will be responsible for organising and coordinating office operations and procedures to ensure organisational effectiveness and efficiency in the Edinburgh office. Some of the main areas of focus will be: responsible for the Inch Cape office move, managing general office administration and reporting to the Project Director as Personal Assistant.
Job Description
1. Office Management:
* Oversee the day-to-day operations of the office, including facilities management, supplies procurement, and vendor management.
* Manage all aspects of the move to new office premises.
* Manage office budgets and expenses, ensuring cost-effectiveness and adherence to financial guidelines.
* Design, implement and update office policies.
* Organise and coordinate meetings, appointments, and events as required.
* Maintain office efficiency by implementing and improving administrative systems and processes.
* Act as the primary point of contact for all office-related inquiries and requests.
* Provide general office management and administrative support.
* Take a lead role in office layout design and refurbishments setups.
* Coordinate office risk assessments according to safety policies, procedures and guidelines.
* Ensure office environment is maintained to a satisfactory standard, monitoring conditions and arranging repairs as necessary in line with health and safety requirements.
* Process invoices and corporate payments in SAP.
* Manage corporate lets, contracting, billing, itinerary checks.
2. Personal Assistant to Project Director:
* Work on a one-to-one basis on a variety of tasks related to the PD's working life and communication to help maximize his time and optimize his productivity.
* Complete a broad variety of administrative tasks including: management of diary activities, setting up conference calls, processing monthly expenses and expenditure, composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans (national and international), itineraries, and agendas.
