We are currently looking for a full time Client Support Administrator to join the team at our Bury St Edmonds clinic, working 40 hours per week. This will be on a rota basis and include working early or late shifts, shared throughout the CSA team.
In this role, you will be responsible for ensuring that the client experience is of the highest quality, ensuring that engagement with clients is friendly, supportive, and highly professional.
As Client Support Administrator you will ensure that appointments are made promptly, payment is taken, and that high front of house standards are monitored and maintained.
About our practice:
Swayne and Partners is a long standing multi-site veterinary practice in West Suffolk, offering an emergency service located within a purpose built facility in Bury St Edmunds.
The facilities include a large variety of blood testing and lab equipment including iSTAT, digital radiography, high quality ultrasound, multi-parameter monitoring, ECG, ventilator and a CT scanner. The current team consists of a total of 12 Vets, including certificate holders in orthopaedic and soft tissue surgery, cardiology, imaging, medicine and emergency and critical care. They work alongside a large team of registered veterinary nurses, student nurses and animal nursing assistants.
Swayne and Partners provide an emergency service for 18 practices in the area of west Suffolk. Overnight the practice is staffed with 2-4 full time skilled registered Veterinary Nurses alongside the night Vet. As a team, they work closely to provide excellent patient care overnight. The patients are typically managed to recovery and return to their primary practices for ongoing outpatient care as needed.
Key Role Accountabilities:
* Ensure that appointments are made promptly and that practice diaries are filled.
* Proactively contact clients to re-book missed appointments, follow up on unactioned estimates generated.
* Take payment at the end of every consultation in line with Company policy, and book follow up appointments where necessary.
* Develop clients understanding of the Kin Vet Community Health Care Plan, ensuring high take up of the product.
* Ensure that client details are up to date on all files, including insurance details, emails, contact details and patients' weights.
* Drive compliance with managing insurance claims in line with Company policy.
* Ensure that Kin Vet Community Debt and Insurance policies are always followed.
* Maintain a high standard of cleanliness in the reception area, greeting clients warmly as they arrive and as they call the clinic.
* Respond to incoming practice emails in a warm and timely manner
* These responsibilities are non-exhaustive, and the role may require them to undertake any additional reasonable duties.
