Band 6 Office Manager/ Corporate Secretariat Manager
Rate: £19.10 per hour
Hours:37.5 hours per week
Key Duties:
-Plan and organise the annual schedule of all meetings of the Strategic Planning and Performance Group
-Develop and maintain an overall annual corporate calendar of agenda items, taking account of corporate governance and timescales as well as overall functions of the Strategic Planning and Performance Group, in order to ensure that these are programmed to meet essential timescales.
-Develop a programme of workshops, visits and other activities to enable the Strategic Planning and Performance Group
-Provision of high quality secretariat support to the Strategic Planning and Performance Group
-Responsible for the servicing of all Group Heads and Committee meetings of the Strategic Planning and Performance Group .
-Provision of advice at each meeting on adherence to the Conflict of Interest and Codes of Conduct and Accountability and, where appropriate.
- Supervise the recording and formal approval of minutes of all Strategic Planning and Performance Group Committees and responsible for the minutes of the Senior Management Team.
- Responsible for the logistics associated with the organisation of all Committee public meetings of the Strategic Planning and Performance Group, including arrangements for the handling of controversial public meetings.
- Act as the key point of contact for the Strategic Planning and Performance Group members and for all enquiries pertaining to the business of the Group
-Liaise with Corporate Business Managers in Local Offices in regard to arrangements for Committee meetings held in Local Offices/areas.
- Liaise with the Communications Manager and ensure that Notices, approved Minutes of the Strategic Planning and Performance Group and relevant publications are posted and maintained on the Strategic
-Plan and organise the annual schedule of public meetings
-. Identify follow up action for relevant officers and provide updates to the next Local Commissioning Group meeting.
- Manage the process for the recording of formal minutes and formal approval
-Engage with local community groups, independent contractors and special interest groups in respect of public meetings of the Belfast and South Eastern Local Commissioning Groups.
-Responsible for the provision of all corporate records in respect of Strategic Planning and Performance Group Committees to the Local Records Manager for Corporate Services to ensure the secure storage of and access to public minutes and corporate records in line with relevant legislation.
- Responsible for records management systems relating to the Belfast and South Eastern Local Commissioning Groups, including Members’ term of appointment.
-Handle highly confidential and sensitive information and required to observe and comply with Health and Social Care policies and procedures on confidentiality
Essential Criteria:
-A University Degree or recognised professional qualification or equivalent qualification;
AND
-a minimum of 2 years’ experience in the last 5 years in a role involving staff management, servicing of formal meetings (to include Board/or Board Committee) with Senior staff and advising on Corporate Governance issues.
OR
-HND/HNC or equivalent (NQF level 5)
AND
-at least 3 years’ experience in a role involving staff management, servicing of formal meetings (to include Board/or Board Committee) with Senior staff and advising on Corporate Governance issues.
OR
-Worked for at least 5 years in the last 7 years in a role involving staff management, servicing of formal meetings with Senior staff, including 2 years’ experience servicing formal meetings (to include Board/or Board Committee) and advising on Corporate Governance issues
-Have a minimum of 1 years’ experience working with a diverse range of internal and external stakeholders.
-Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment.
