Receptionist -Temporary working Christmas Day & Boxing Day Role Specific Duties: Create a Welcoming Environment: Ensure the reception area is tidy, welcoming, and clean, leaving a positive first-class impression with up-to-date information. Visitor Management: Complete the visitors book and notify the appropriate person of their arrival. Professional Communication: Answer the telephone and greet callers and visitors in accordance with the agreed policies, ensuring security protocols are followed. Efficient Correspondence Handling: Date stamp all received correspondence and ensure it receives prompt attention. Administrative Support: Provide comprehensive administrative services, including word processing, minute-taking, and maintaining an effective filing system. Accurate Record Keeping: Maintain accurate records, produce basic reports, and complete forms, invoices, and monthly financial returns as delegated. Resident Information Management: Respond to requests for information about resident vacancies and assist with administrative procedures for admissions. Meeting Coordination: Organize meetings, produce circulars, notices, agendas, and minutes as required. Document Management: Type letters and maintain the filing system for the Home Manager. Website Maintenance: Work with the Head of Communication & Fundraising Manager to keep the website information up-to-date and handle website inquiries. Support for Managers: Provide administrative support to all managers. Document Reproduction: Reproduce, staple, collate, and maintain adequate stocks of forms, booklets, and other documents, liaising with external providers as needed. Cost-Effective Purchasing: Order and purchase goods and services cost-effectively after receiving appropriate authorization. Technology Utilization: Make effective use of all information technology in the home, including word processors, databases, faxes, and email. General Duties: Recruitment Support: Send recruitment literature to applicants and pass them to the HR department for processing, promoting a positive image of the organization and ensuring equal opportunities. Uniform and Badge Management: Order uniforms and badges where in use. Data Management: Ensure all new starters and leavers' biometric data are added and deleted in accordance with GDPR. Working with Others: Interface effectively with employees from other departments. Leading by Example: Undertake other duties as required, commensurate with the level and responsibilities of the post. Personal Responsibilities: Attend statutory and other training as directed by management. Communicate with customers to understand their needs. Show a keen interest in learning and improving performance. General: Maintain good relationships with other professionals visiting the home. Demonstrate experience working with a range of partner organizations. Show evidence of continuous professional development. Comply with all statutory requirements and legislation (e.g., Health and Safety, COSHH, Moving and Handling, Fire Safety, Environmental Health).
