Role Summary
The Assistant Parish Administrator (APA) post will support the parish to fulfil its ambition to grow and see 150 new worshippers across the parish by September 2026. The APA will carry out the functions detailed below and any other duties as may reasonably be required. The job will be appointed on a fixed-term basis.
Through the delivery of good administration, the APA will be central to enabling this growth and development. The post-holder must be on board with the vision of the parish as a whole.
Job Purpose
1. To ensure the parish is enabled to grow through the delivery of good administration
2. To provide additional admin capacity to manage certain areas of church life
3. To provide cover for our Parish Administrator, freeing her up to undertake focused tasks two days per week
Key Responsibilities
1. Positively represent the parish as first point of contact for all calls and emails into the Parish Office
2. Deal with general enquiries from the public and church members
3. Support the data migration and initiation of a new church database (training will be provided)
4. Record and pass on messages in a timely fashion
5. Be responsive and professional in replying to emails and voicemails to ensure proactive communications across the parish and with external individuals and groups
6. Oversee all church hall bookings around the parish – liaising with church volunteers, one-off and regular hirers
7. Invoice regular hall users monthly, track and chase late payments
8. Invoice one-off hall users, track and chase late payments
9. Issue keys and maintain Master key log. Undertake an annual key audit
10. Undertake routine fire-risk checks (including checking alarms), maintaining records around the parish and booking annual checks and audits
11. Responsible for collecting cash, counting, and weekly banking around the parish and updating financial spreadsheets
12. Responsible for ordering parish office and church supplies (e.g. candles, cleaning products, bread, wine, office supplies)
13. Working as part of a team, help to coordinate special events throughout the year
14. Keep accurate records of activities and report information accurately and in a timely manner as requested
15. Manage and communicate effectively with a range of external partners and other professionals
16. Attend staff team meetings, 1-1s, and any other meetings as may be requested
17. With due planning, a willingness to cover when the Parish Administrator is away
18. Undertake any other tasks as may be requested by the Parish Administrator
19. A willingness to support the parish at evening/weekend events on an occasional basis (this should be rare, but may arise, for example, if volunteer numbers are low and extra help is needed)
