Job Overview
We are seeking a highly organised and motivated Administrative Assistant to join our team. The ideal candidate will possess strong clerical skills and be proficient in various office software, including Google Suite and QuickBooks. This role is essential for ensuring the smooth operation of our office by providing administrative support, maintaining records, and facilitating communication within the team.
Responsibilities
1. Manage and maintain office supplies and equipment, ensuring everything is well-stocked and functional.
2. Perform data entry tasks accurately and efficiently, keeping records up to date.
3. Answer phone calls with professionalism, demonstrating excellent phone etiquette while assisting clients and colleagues.
4. Organise files and documents both physically and digitally, ensuring easy access to important information.
5. Assist with bookkeeping tasks using QuickBooks, including invoicing and tracking expenses.
6. Prepare reports and presentations as required, utilising Google Suite for document creation.
7. Provide general administrative support to team members as needed, contributing to a collaborative work environment.
Experience
1. Proficiency in Google Suite (Docs, Sheets, Drive) and Microsoft Office applications (Word, Excel, PowerPoint).
2. Previous experience in an administrative or clerical role is preferred but not mandatory.
3. Strong organisational skills with the ability to manage multiple tasks simultaneously.
4. Familiarity with QuickBooks is advantageous but not essential; training can be provided.
5. Excellent typing skills with a keen eye for detail to ensure accuracy in all tasks performed.
6. Ability to work independently as well as part of a team, demonstrating initiative when required.
