We have an exciting opportunity for a Bid Manager to join our expanding, friendly team. You will be joining the business at a very exciting time, and will play an important part in our further growth and success by helping to win new business. To help us do this, we need someone experienced in the writing and managing of compelling, concise and coherent tenders, PQQs and proposals.
The opportunity
You will be responsible for the end-to-end bid process and will enjoy a deadline. This process runs from identification of bid opportunities to submission of documentation, and everything in between. In addition to bid documentation there is also the need to support the sales and marketing teams with content and collateral for broader sales materials.
Tenders must be written clearly and accurately, and submitted on time. You will need to keep track of a large number of documents for a typical tender, and shepherd them through the review and finalisation process – so an organised approach is an absolute must.
The role requires getting to grips with sizeable software applications and describing them clearly and accurately. The ability to master technical jargon is also needed.
The responsibilities and requirements for our ideal candidate are listed below. You should be able to demonstrate some solid evidence of an organised approach and concise written work – ideally with some technical content.
Responsibilities will include:
* Transforming technical and operational information into clear, concise and meaningful proposal documentation with support from the Sales and Operational Teams
* Ensuring all submissions of Requests for Information (RFIs), Pre-Qualification Questionnaires (PQQs), Requests for proposals (RFPs), and Invitations to Tender (ITTs) are accurate, fully complete and submitted within the required timescales
* Management of the end-to-end bid process
* Using a writing style that reflects Worktribe; informal but informative; re-working existing written content where relevant
* Proof reading and adjusting content provided by others where necessary
* Maintaining document management and version control for tender related and other product documentation
* Oversight and responsibility for delivery of the entire bid process, from receipt of documentation through to bid submission
* Keeping up to date with procurement legislation, and briefing colleagues on salient points
* Creation of sales proposal related content
* Keeping up to date with project-specific case studies
* Liaising with operational team to ensure they are briefed on the details of tenders, and ensuring they deliver their input on time
* Supporting creation and maintenance of other written materials as required
Required Skills and Abilities:
* Able to gather and assimilate information from a variety of sources and to document and describe software functionality to both technical and non-technical audiences
* Exceptional attention to detail and the ability to see tasks through to completion, working as part of a team
* A keen and practical organiser; able to keep track of many parts to a bid (set up a Tracker and keep it updated), looking ahead and managing potential bottlenecks
* A completer/finisher who works to deadline and delivers on time
* An analytical mind that can read an ITT document pack and quickly work out what is required to respond to it (i.e. the documents to submit, and the format for each)
* Highly articulate (i.e. can explain things clearly) and literate (good grammar, spelling, punctuation, and a simple, readable style)
* IT literacy – the ability to assimilate new software products and functionality with minimal or no guidance. Can be trusted to have full ‘super-user’ authority in a system
* Working in conjunction with our marketing and client success teams, be able to create or shape the design of pre-sales materials to support the non-tender sales cycles
* Technical skills include proficiency in word processing and spreadsheet packages such as MS Office/Excel (or equivalent), Google Docs/ Sheets, etc.
* Familiar with screen capture software and ‘lightweight’ graphic or packages that can be used to create flow diagrams (e.g. using packages such PowerPoint, Gliffy or Visio)
* Familiarity with the UK Higher Education sector
* Knowledge of administration systems, platforms and HE
* Experience of document and/or graphic design
