POST: DOCUMENT CONTROLLER REPORTS TO: Head of Document Control DEPARTMENT: Document Control Department WORKING Employees, Subcontractors, Suppliers, Clients and other RELATIONSHIPS: Stakeholders ROLE DEFINITION As a Document Controller you will be responsible for managing and maintaining project documentation, ensuring accuracy, quality, and integrity of data throughout the project lifecycle. Working as part of a dedicated project team, you will maintain an electronic filing system for easy retrieval of documents with project teams, clients and subcontractors to ensure timely submission, review of documents and that all documents comply with company standards and project requirements. JOB DESCRIPTION Document Management Issuing all project documentation inclusive of technical submittals, benchmarks, samples, builders work requests, drawings, models and design information to the client via project EDMS. Downloading and logging all documentation issues to Phoenix via the clients EDMS to Project SharePoint. Updating all schedules within project report daily – when documentation has been issued or we have received comments/status’ back on documents. Issuing documentation to all sub-contractors with trackers and schedules Downloading a full schedule of all Status B and C documents and issuing a report each week to the project team for review. Numbering and identification of documents as per the project protocol. QA checks of all Documents. Log in and out drawings received from CAD Bureaus/Subcontractors via the projects SharePoint. Health and Safety Adding all operatives to the Phoenix Induction prior to attending site via the InnDex Health and Safety System. Maintaining a record of all weekly site inspections completed by Phoenix ME project management and subcontractor management and supervision. Booking of monthly forums and issuing key items out to subcontractors. Keeping the Method Statement Schedule up to date to align with all 3 monthly checks. Printing and filing of RAMS making sure all subcontractors have the latest available. QA Check all RAMS which are sent over by the project team making sure all dates, revisions match and any data sheets like COSHH, HAVS, First Aid are within. Issue out Health and Safety Phoenix Standard Templates to all subcontractors that are awarded the project. Collection of all weekly Health and Safety returns which is to be collated and uploaded onto the clients EDMS.
