We are looking for a well organised, confidential support assistant to become part of the team of PA’s supporting the Executive Director and Assistant Directors within our People Directorate. Providing excellent office support to the Assistant Directors, it is essential that you have excellent communication skills and the ability to work in a confidential environment. A professional, flexible attitude to working at all times with a “can-do” approach. Ability to work autonomously in an exceptionally fast paced environment. The People Directorate encompasses Children’s Social Care, Adult Social Care and Operations, Education and Learning, Commissioning, Early Help and Communities. What we do matters. Key responsibilities Personal Support: Diary management – scheduling meetings, preparing papers needed, scheduling lunches/breaks/prep time, resolve diary clashes. Email management – triage of emails, coding for prioritisation, actioning and responding where possible. Meeting management – for partnership, management, stakeholder meetings that involve the director, coordinating agendas and papers. Minute taking, for statutory/essential meetings: record/transcripts where possible summarised to actions. Enquiry management – councillors, customers, complaints – initial face of contact on behalf of director, appropriate logging and tracking. Formatting for directors reports and presentation. Ad Hoc, By Agreement With Senior PA: Recruitment & Inductions - for posts that report to director, including ordering IT kit/passes, arranging initial meetings. FOIs, SARs and complaints – coordination of information, tracking and responding. HR processes, where essential – support with disciplinary’s, hearings, grievances as needed. Wider team processes – coordinating mileage claims, expenses, invoice/PO support for director.
