Senior Document Controller
6 Month Contract (Likely extensions)
Birmingham or Warwick (1-2 days onsite per month)
The purpose of the role is ensuring robust management of project documents, records, and deliverables on multiple on-shore projects in line with existing and evolving ways of working.
The role will support the Document and Records Manager in the implementation of document and quality records processes, ensuring compliance with company standards and procedures.
As a senior document controller, you will be responsible for the day-to-day management of project information and supporting project teams in applying correct quality document control processes.
Key responsibilities include:
1. Acting as a first point of contact for Project Managers in all matters related to document controls on their projects, including managing and keeping up to date the Project Master Deliverables Register.
2. Managing key information delivery processes such as incoming and outgoing transmittals for a variety of purposes, ensuring actions are logged and timely responses returned, and maintaining an audit trail.
3. Managing request for information processes, ensuring actions are logged and timely responses returned, and maintaining an audit trail.
4. Ensuring application of metadata standards and performing regular audits within SharePoint project sites and document deliverables.
5. Administering Project SharePoint Sites, ensuring access control in line with the access permission matrix.
6. Providing first line assurance for documents and records, ensuring minimum quality checks are performed and issues resolved in line with procedures.
7. Providing weekly reports to Project Managers on performance and actions related to project documentation.
8. Providing training to project teams on correct processes and providing hands-on support where required.
9. Identifying and implementing improvements in existing processes and procedures.
10. Supporting the transition and migration of project documentation to the new Common Data Environment (Autodesk Construction Cloud) platform.
Key skills and experience:
1. Good understanding of major infrastructure project information delivery processes and challenges.
2. Significant hands-on document management and quality record management experience.
3. Highly experienced in SharePoint administration and its use as a project information repository.
4. Experience in a range of Electronic Document Management Systems (EDMS).
5. Meticulous attention to detail and compliance with standards and processes.
6. Good communication and engagement skills.
7. Competence in a range of MS Office tools such as Excel, Word, and other utility tools.
8. Experience in implementing and administering SharePoint as a project CDE platform.
9. Experience in the energy transmission sector is desirable.
