About the Role: Join a dynamic Marketing team where you’ll play a key role in driving seamless operations and impactful marketing initiatives This role is at the heart of coordination—managing marketing assets, collaborating with vendors, overseeing digital content platforms like Showpad, and ensuring top-notch execution of campaigns. From supporting leadership with scheduling to leading fulfillment efforts for product launches and crafting the biweekly Marketing Mix newsletter, you’ll be the glue that keeps the team running efficiently and creatively Primary Responsibilities: Provide project and administrative support to the Marketing Department to facilitate seamless departmental operations and execution. Coordinate essential Marketing deliverables and functions, such as collateral/assets and digital content, external vendor relationships, and resources to support internal teams (i.e., Sales). Accept special projects and assignments as business requires Assist other MED-EL team members as needed, or requested by other Departments as directed by Supervisor Provide project and administrative support to Marketing Department, which consists of VP of Marketing, Product Management, Creative/Graphic Design, Events, Content/Digital Media, and Social Media Management. Manage schedule of VP of Marketing and Director, Product Management, as needed, to coordinate meetings, conferences and travel. Assist in developing, designing, and managing collateral and digital content for marketing programs and campaigns. Produce and distribute the biweekly Marketing Mix internal newsletter. Proactively manage and enhance of all aspects of Showpad, including timely content/assets updates, organization of experiences and toolboxes, regular audits to remove dated or obsoleted materials, staff access and training, troubleshooting, and cross-departmental collaboration to use the tool to its fullest potential. Manage external vendors (e.g., Imagine, Ad Resources, Rokkitwear) to ensure high-quality deliverables in a timely manner. Oversee department expense reporting processes, using tools such as Expensify. Generate related reports for accounting and maintain accurate financial tracking. Maintain the MED-EL Bridge Store, including inventory control, purchasing processes, and running reports for accounting. Collaborate with the Rehabilitation department, Digital Development Team, and fulfillment center to ensure seamless fulfillment of rehabilitation materials and merchandise ordered through the store. Maintain the MED-EL Merchandise online store through the 3 rd party vendor (Rokkitwear). Coordinate all updates to store. Coordinate fulfillment efforts for new product launches, including forecasting, initiating quotes for approval, and setting up new inventory with vendors such as Ad Resources and Imagine. Organize and maintain the Marketing Department's storage areas, ensuring a tidy space conducive to efficient work. Monitor the shared marketing email folder (marketing.usmedel.com), fulfilling requests within a timely manner. Route non-marketing-related inquiries to the appropriate departments and ensure excellent customer service. Receive, inspect, and stock items delivered from HQ or external vendors. Monitor the inventory levels of printed marketing materials, collaborating with the Creative team for reprints/replenishments or necessary updates, auditing inventory for dated materials and initiating replenishment or obsoletion processes as needed. Manage the inventory of demo kits and equipment. Collaborate with Product Managers and Ad Resources to maintain sufficient levels, coordinate ordering site setup, organize items, and troubleshoot as needed. Coordinate updates and replacement of display materials (e.g., tablecloths, banners, or Mellie items) when items become worn, damaged, or lost. Follow up with sales to retrieve borrowed items. Communicate regularly with field staff regarding marketing materials (e.g., reprints, replenished stock, low inventory notices) and ensure they are well-informed of available resources. Conduct new hire orientation related to marketing processes, including hands-on training for Showpad, Imagine, and Ad Resources fulfillment processes. Provide presentations and guidance as needed. Accept and execute special projects/assignments as required by business needs.
