Overview:
This role is responsible for overseeing the day to day running of One Temple Quay, ensuring that our building is safe and that we comply with relevant legislative requirements, so far as is reasonably practicable and act as a responsible landlord for our growing number of tenants.
• Ensure that common areas and all plant and equipment are maintained in a safe condition.
• Undertake regular checks and assessments of common parts to ensure that health and safety arrangements remain effective and liaise with H&S Business Partner.
• Ensure that any hazards identified in common areas are properly controlled and that any defects are rectified promptly and in the safe manner and communicated to the H&S Business Partner.
• Liaise with all Tenants and H&S Business Partner to ensure that they are aware of health and safety issues affecting their business, and to bring any changes in local procedures or regulations to their attention.
• Operate a Permit to Work system for any works to be undertaken within tenant areas, overseeing the day to day interactions with the site.
Roles and Responsibilities
• Oversight of the building services covered by all FM contracts, including security manned services to drive effective and safe building operations.
• To carry out regular inspection audits of the site, ensuring the fabric of the building both externally and internally is maintained and serviced to a high standard in accordance with the management contract and agreed budgets. Completing high level condition surveys of the common parts, when tenants are completing moves or exiting.
• Being the first point of contact for all Tenant queries; Liaising and communicating with Tenants on any alterations or contractor works within their demise dealing with requests in a timely and professional manner. Linking in with BOI to identify if works fall into Licence to Alter ( LTA) or approved under the terms of their lease.
• To co-ordinate all occupants’ Projects and Business as Usual PPM’s to ensure impacts to building occupants are minimised, appropriate consents are obtained and procedures are adhered to. Co-ordinating the approval of Risk Assessments and Method Statements (RAMS) in consultation with Group Health and Safety.
• Attend and chair monthly/ quarterly meetings with clients and tenants, preparing packs in advance with operational KPI data, updates, issuing minutes and owning the actions.
• Attend at least quarterly and where requested, H&S Meetings with H&S Business Partner.
• Resolving complaints, problems, and requests from building tenants.
•Maintaining a suite of building documentation in line with ESG requirements for the tenants and supplying on request, including maintenance records and utility consumptions, both for the building and individual floors.
• Assist in preparing the annual service charge budget management with preparing, monitoring and reconciling the service charges
• Assisting in the identification of performance improvement opportunities, cost saving and environmental sustainability initiatives. Challenge existing processes, introducing new approaches to improve the quality and efficiency and effectiveness of processes.
• Acting as the lead Fire Marshall and First Aider and hold appropriate training in both as advised by the H&S Business Partner.
• Co-operate with H&S Business Partner who is responsible for arranging all fire to ensure fire drills are managed with adequate cover .
• Co-operate with H&S Business Partner in relation to update of emergency plans where site maps may need to be updated to keep them current.
• Co-operate with H&S Business Partner in event of false alarm and/or other evacuations of the building.
