Job Description
We require a Personal Assistant based in our Chelmsford office to provide support to a group of Senior Leadership Team (SLT) within the Transportation Division.
The role holder will provide support to senior leadership members, also working collaboratively with the wider Transportation admin function. The role requires an experienced and flexible person to take a proactive approach to supporting and working within a high-paced office environment, ensuring the efficient operation of the Transportation business.
Essential Duties and Responsibilities:
* Managing diaries and organising meetings and appointments.
* Booking and arranging travel (domestic and international), transport, accommodation, and visas where required.
* Producing and sending monthly expenses.
* Tracking and reminding the Senior Member of staff of important tasks, actions, and deadlines.
* Compiling and preparing reports, presentations, packs, and correspondence.
* Attending meetings where required, taking minutes and actions, internally or with stakeholders.
* Managing databases and filing systems.
* Deputising for other Personal Assistants when necessary.
* Monitoring and reporting on timesheets, PDR appraisals, and other group requirements.
* Liaising with other support staff to provide assistance when required.
* Ensuring that the directors are and feel fully supported in all areas of administration.
Requirements:
* Able to work well under pressure and prioritise workload accordingly.
* Strong attention to detail with excellent interpersonal and communication skills.
* Professional and confident manner.
* Ability to maintain confidentiality.
* Organised and efficient, flexible and approachable, willing to assist with all tasks when under pressure.
* Positive proactive approach.
* Excellent administration and communication skills.
* Computer literate with working knowledge of Microsoft Suite (Outlook, Excel, Word, PowerPoint, SharePoint, and MS Teams).
* Good team player and willing to support the team.
* Strong organisational skills with the ability to manage multiple tasks.
* Good time management skills with the ability to work to deadlines.
* A proactive self-starter and problem solver with the ability to multitask in a fast-paced environment.
* Ability to demonstrate critical thinking.
* Ability to work autonomously.
