Brief Description
As the Lead Administrator you will support the delivery of HR administration for apprentices and graduates.
About the role (External)
Main Responsibilities
* Manage the administrative arrangements and support all elements of Network Rail Apprenticeship and graduate programmes (Foundation Degree, BEng, and Engineering Conversion programmes) to provide effective delivery of all administrative duties to our customers.
* Monitor the Learning Management System is updated with student submissions, National Vocational Qualification (NVQ) submissions, line-manager input, trainer input, progression, and user management and initiate intervention procedures when required, so that the academic and vocational outcomes meet the requirements of the apprenticeship framework.
* Establish relationships with resourcing and provide support to the ongoing recruitment plans and assessment centres providing knowledge on the programme and clarification on medicals, discipline splits and resourcing data for candidate approval leading to the recruitment of candidates capable of succeeding.
* Manage the process for organising travel and accommodation for all Apprentices and graduates for all academic training planned throughout the programme to deliver a customer-focused service.
* Manage the Competency Management System for all apprentices to keep records updated to identify gaps in competency, leading to data-driven decision making.
* Support route customers, line managers and HR business partners with advice around all aspects of the programme and apprentice/graduate journey to enable a smooth transition of employee into role.
* Manage the purchase of supplies via purchase orders in support of apprenticeship and graduate programme within procurement processes.
* Monitor data reports on apprentice numbers are planned and processed to provide to our external stakeholders including the Department of Transport and the Department of Education.
* Manage the Digital Apprenticeship Service (DAS), working closely with training contractors where required, registering apprentices for levy funding, and resolving or escalating issues as appropriate.
* Monitor and co-ordinate the Individual Learner Records (ILRs) keeping end point assessment requirements up to date for the duration of the schemes.
Essential
* Relevant administration experience, particularly in dealing with large volumes of people and data.
* Excellent organisation and interpersonal skills.
* Commercial awareness.
* Influencing and negotiation skills.
* Computer literate (Word, Excel, Databases etc.).
* Strong communication skills (verbal and written), including an excellent telephone manner and proven ability to communicate at all levels (including with 17-24-year-old Apprentices).
Desirable
* Knowledge and experience of training administration.
* Purchasing experience.
* Rail Industry experience.
