The Role
The role of Accounts Administrator is based in Acton (W3) and reports to the Financial Accountant. The responsibilities include:
1. Payments (from customers, and to suppliers):
o Raising and sending invoices
o Credit control
o Making payments
o Allocating banking transactions
2. Query Resolution:
o Handling accounts-related queries
o Managing processes for lost or damaged items
3. Logistics Coordination:
o Ensure successful client collections and deliveries, especially during busy periods or in the absence of the logistics coordinator
o Confirm client details and take payments
o Plan deliveries and liaise with couriers
o Manage relationships with suppliers (security, cleaning, telephone lines, and insurance)
o Support Health & Safety agenda
o Help plan office events and socials
o Complete transport paperwork
4. Communications:
o Sending customer feedback forms/surveys
o Supporting proposals and presentations, including managing a library of videos, photos, and policies
o Supporting internal communications (training, town-hall meetings, and policy roll-outs)
Requirements:
* Ability to prioritise tasks logically and maintain flexibility
* Strong attention to detail and practical problem-solving skills
* Proven organisational skills with the ability to handle multiple tasks under time pressure
* Experience working in customer-facing roles and with accounts personnel is a plus
* Excellent communication skills, with the ability to tailor communication styles for different audiences
* Proficiency in IT (using search engines, posting on social media, understanding basic insights, working with financial databases, stock systems, spreadsheets, and updating shared calendars)
* Some experience with commercial thinking or managing costs would be beneficial
* A genuine interest in technology hardware would be helpful
