About the role
We have a fantastic opportunity for a Personal Assistant to join our Rail team. The contractual base for this role will be Redhill, Surrey. We welcome flexible and hybrid working in this role.
The primary purpose of this role is to provide a wide range of administrative and analytical support to a number of Exec members in the Rail Business Unit, including the Operations Director – Rail Systems, Commercial Director and Head of HR.
What you'll be doing
The successful candidate will:
* Devise and maintain efficient office administration processes to ensure a smooth and efficient service is delivered to team members;
* Organise and produce complex (confidential) papers and reports;
* Work with the other Personal Assistants in Rail Business to ensure the Business Unit meeting rhythm is coordinated and maintained;
* Undertake multi diary management and plan schedules in diaries to optimise the working day of the Rail exec members;
* Screen incoming mail, telephone calls, emails and messages and manage responses directly on behalf of the exec members, as required;
* Arrange and attend senior leader meetings, events and conferences as required, to take minutes and ensure appropriate facilities are organised;
* Book UK and overseas travel and accommodation;
* Prepare and track personal expenses and other ancillary expenditure;
* Maintain accurate and secure paper based/electronic filing systems, including archiving;
* Maintain full confidentiality of sensitive and confidential business issues;
* Support the work of other Executive / Personal Assistants across Rail during periods of absence or unexpected high volumes of work activity;
* Perform ad hoc confidential project work as required;
Review internal presentation documents.
Who we're looking for
The successful candidate will have the following qualities/experience:
* Skilled user of SharePoint and Microsoft packages including PowerPoint, Word and Excel;
* Previous experience of providing EA/PA support to a Managing Director and Senior Leadership Team;
* Highly organised and able to work on own initiative with limited supervision;
* Discreet and confidential and able to handle issues with great sensitivity;
* Ability to engage and build effective relationships;
* Strong communication and influencing skills;
* Demonstrable ability to prioritise and manage conflicting priorities during busy periods;
* Is able to demonstrate a logical, proactive approach;
* Possess a high degree of attention to detail;
* A proven ability to work well under pressure and to tight timescales.
