Office Manager required for a major offshore wind developer based in Scotland\n\nResponsibilities\n\nOversee the day-to-day operations of the office, including facilities management, supplies procurement, and vendor management. \nManage all aspects of the move to new office premises. \nManage office budgets and expenses, ensuring cost-effectiveness and adherence to financial guidelines.
\nDesigning, implementing and updating office policies\nOrganise and coordinate meetings, appointments, and events as required. \nMaintain office efficiency by implementing and improving administrative systems and processes. \nAct as the primary point of contact for all office-related inquiries and requests.
\nProviding general office management and administrative support\nArrange general business travel, conferencing, venue hire arrangements for Inch Cape project team\nTake a lead role in office layout design and refurbishments set ups.\nCo-ordinate office risk assessments according to safety policies, procedures and guidelines\nEnsure office environment is maintained to a satisfactory standard, monitoring conditions and arranging repairs as necessary in line with health and safety requirements\nProcessing invoices and corporate payments in SAP\nCorporate lets, contracting, billing, itinerary checks\nWork on a one-to-one basis on a variety of tasks related to the PD's working life and communication to help maximise his time and optimise his productivity.\nCompletion of a broad variety of administrative tasks including: management of diary activities, setting up conference calls, processing monthly expenses and expenditure, composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans (national and international), itineraries, and agendas.\nPlans, coordinates and ensures the PD's schedule is followed and respected. Provides\n"gatekeeper" role, managing access to the PD's time and office.\nPrepares and collates relevant documents, briefing papers, reports and presentations for meeting packs\nTyping, note taking and secretarial duties on request.\nOrganise team communications and plans events/functions, both internally and offsiteRequirements\n\nDegree qualified (Desirable)\nPrevious experience working as an office manager and being responsible for all office management systems and procedures\nPrevious experience organising and implementing facilities management of an office building\nIntermediate computer skills and experience with Microsoft packages (Outlook, Word, Excel etc.)\nStrong organisational, problem solving and planning skills\nCan demonstrate excellent team working and communication skills with all levels within a business\nConfident communicator\nAbility to work under pressure and meet deadlines\nAbility to work independently and as part of a team
