Executive Assistant to Group President
CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting an Executive Assistant to join the team located in London. The main purpose of the role is to support to the Group President of Europe and UK for GWS Local.
This is a demanding role and requires a strong-willed person who is able to work under pressure and deal with staff at a senior level across multiple countries/regions in the business. Must be flexible to work outside core office hours from time to time, and to travel on occasions to other work locations.
What You'll Do
Supporting the global Group President in an extremely fast paced / high growth environment
Working in a professional manner, maintaining diplomacy and confidentiality in communicating highly sensitive information with people of all levels within the company and externally
Proactive and extensive management of the President's diary and inbox, ensuring emails are dealt with in a timely manner, replying to emails where appropriate and ensuring emails are archived
Organising team dinners and events
Arranging travel on a regular basis as well as some personal travel
Responsible for planning the President's time/diary and deciding which items take priority, reacting to situations as they arise and amending the calendar to suit
Gatekeeper between the President and the other departments within the Business
Assisting in signing of documents with the legal team and company secretary for the Boards of each country we operate in
Ensuring full preparation for each meeting, creating slides/agendas and taking notes in team meetings and strategy meetings, including printing & binding of documents.
Scheduling business group reviews, monthly leadership meetings, board meetings and taking and distributing minutes/actions
Processing and preparing expenses and coordinating approval for direct reports expenses
Work with the CEO's Executive Assistant in running the bi-monthly Global Assistants virtual meetings
What You'll Need
Good basic education to GCSE (or equivalent standard), which will include an English and Maths qualification. Industry experience beneficial
Very proficient in the use of Microsoft Word, Excel, Outlook and PowerPoint. As well as being tech savvy
Experience in a similar role in a fast-paced environment essential (Experience within the Facilities Management sector is beneficial but not essential)
Excellent relationship building skills with the ability to work under pressure and to deadlines
Impeccable organisation and ruthless prioritisation as well as strategic multitasking
Strong organisational and communication skills, flexible approach to work and takes ownership of their responsibilities
Calm manner, able to work under pressure and against rapidly changing demands and priorities
