Job Description
We are seeking afternoon veterinary receptionists to join our team in Finchley on a part-time basis, from 12:30pm or 2:30pm to 7pm Monday to Friday and 1 in 4 Sundays 10am-2pm.. One role is a 12-month maternity cover role starting in November 2024 and one role is permanent, subject to a three month probation period.
We have a loyal community of clients and their pets who receive a friendly, caring and individually tailored service that puts pets health and wellbeing first and foremost. You will be part of a team of four receptionists who look after our clients and make them and their pets most welcome. This is a front-of-house role involving providing excellent customer care and administrative support to the practice. The role involves booking appointments, liaising with and greeting clients, taking payments and cashing up. We are seeking a friendly and organised person who is an excellent communicator as you will be the first point of contact in the practice, on the phone, by email and on our app. You will be able to work well independently without direct supervision.
You will have:
* Experience of customer care
* Excellent computer literacy to utilise the functionality of the practice management system, manage the inbox and be the first point of contact on our app
* High standard of clear spoken and written business English
* Love of animals
* Experience working at a busy veterinary environment or similar.
Major Responsibilities You will be responsible for the prompt and efficient answering of the telephone, responding to emails and phone messages, the initial greeting of clients and registering clients and booking appointments on the system.
Other responsibilities include maintaining high standards of cleanliness and tidiness in the reception and front-of-house area including the pet boutique, over the counter payments and sales, mailings, computer operation. You will also be responsible for filing. Receptionists will assume the responsibility for acquiring the medical and legal information necessary for the performance of their duties.
Core Duties • Provide excellent customer care to current and prospective clients, working patiently and compassionately • Be the initial employee to address and attempt to resolve customer enquiries and complaints • Answer and triage phone calls from clients • Client call-backs and emails in a timely fashion • Filter unsolicited cold calls from sales businesses • Open mail, package and post outgoing mail in a timely manner • Contact no-show appointments to reschedule • Process payment for services and enter into the client record • Perform day-end financial procedures • Schedule appointments and schedule procedures • Managing record requests between other veterinary practices • Serve as initial source of information to clients • Generate and verify the accuracy of generated invoices • Relay appropriate information to/from clients to veterinary surgeons/nurses and/or management • Be able to take direction from senior staff • Generate repeat prescription requests • Sign clients up to monthly pet plan and insurance policies • Keep reception area and waiting room clean and tidy daily (this involves sweeping, mopping, and cleaning front desk)

Salary: £23,000 (Pro rata, full time equivalent)
