Job Description
We are seeking to appoint a Bid Coordinator for a thriving industry, one that continues to grow exponentially as the attractiveness and government legislation around electric vehicles continues to drive demand for more EVs and EV charging points across the country. The Bid Coordinator is responsible for assisting the Bid Manager in preparing compelling tender submissions that align with our company's goals and client requirements.
Key Responsibilities
1. Assist and support with the preparation and submission of all bids and proposals.
2. Ensure new opportunities are received in full including all the scheduled information within the PQQs, ITTs and appendices.
3. Logging and processing of opportunities on company systems.
4. Adhere to internal bidding and company processes.
5. Drafting and preparing deliverable schedules for PQQs and ITTs. Distributing, following up and assisting in collating responses for review.
6. Assisting Bid Manager in preparing proposals with the commercial team.
7. Assist with and populate pre-qualification/selection questionnaires/applications as instructed and within deadline.
8. Support with the formatting/quality control activities of bid/tender applications and supporting material.
9. Provide general administrative support in a timely manner.
10. Co-ordinate communication across the internal team for individual tender cycle.
11. Liaise with internal team to update with the Tender Clarifications and Addenda received.
12. Collating TQ's, via agreed templates for upload.
13. Supporting the Bid Manager in developing final submission(s) including collating commercial, qualification and quality responses.
14. Organise and schedule meetings as required.
Essential Qualifications / Experience
1. Minimum 3 years experience in a bidding administration or coordination role.
2. Proven experience in a fast paced environment within similar sectors/organisations.
3. Knowledge of a commercial Bid/Procurement or business development environment.
4. Commercial awareness and experience.
5. The ability to work both as a team member and to own initiative.
6. Excellent organisational and time management skills.
7. Excellent communication/interpersonal skills.
8. Good verbal and written English with an excellent eye for detail.
9. Ability to manage complex, multi-workstream deliverables to deadline.
10. Experience in Microsoft Suite.
11. Competency in using industry-specific software and administrative procedures.
12. A proactive, energetic approach.
Desirable Criteria
1. Experience in Adobe Creative Suite.
2. Experience in a similar role within the construction/civils/utilities sector.
