Please note this is a part time - 22.5 hours per week role.
To provide proactive and comprehensive administrative support to the Trust Equipment Department and associated teams. This includes liaising with other departments and services, and effectively responding to
inquiries from service users, healthcare professionals, external agencies, and the public.
The role focuses on consistently delivering a patient-centered service, fostering excellent customer service, and promoting effective working relationships within the Integrated & Community Care Division. While primarily based at the Great Western Hospital, there may be occasional requirements to cover other locations across Swindon as needed.
• · To be responsible for the day-to-day administrative organisation for the Trust Equipment Department providing general clerical and administrative support including using the Trusts electronic asset and work order management system to receive, document and complete a variety of work requests for equipment breakdowns and repairs. Supporting the Trust Equipment Dept teams with admin processes & diary management where required, answering phones, taking messages, filing, photocopying, scanning, distribution of post etc.

• To use the Trusts electronic ordering system to order spare parts, repairs and maintenance contract for the Trust equipment team
Develop and use appropriate manual and electronic filing systems.
You will be responsible for the taking, transcribing and distribution of minutes for regular weekly and monthly meetings.
• Responsible for maintaining electronic records of Capital Cases of Need for the Trust Equipment Group committee. Responsible for liaising with user departments to ensure the submission are complete and organising the Agenda for the Trust Equipment Group Committee.
• To assist the Equipment Library in the preparation of the Staff training database, transposing records and keeping the records system up to date.
