Job Title: Maintenance Administrator (Part time)
Location : Poole (Office Based)
Salary: £13.50 - £14.50 per hour
Job Type: Part time/ Permanent (20-30 hours per week/ 8:30am - 5:30pm)
About the role:
We are in search of an experienced administrator to work in our Head Office in Poole. You will need to be eager to embrace a fresh opportunity within a fast-paced setting. The perfect candidate should be adaptable, have a desire to acquire new skills, and be comfortable working individually or as part of a supportive team in a face-to-face environment.
In this position, you will play a vital role in supporting the Maintenance Team and, as such, we are seeking an individual with a strong, optimistic mindset and a sharp attention to detail. The responsibilities will be diverse, requiring efficiency and excellent organisational skills.
Duties and Responsibilities:
Basic quote preparation for maintenance contracts
Preparing pro-forma invoices for payment through Sage 200
Chase timesheets and job sheets to ensure receipt in a timely manner
Contacting customers to chase outstanding invoices and quotes
Entering Sales orders for goods, services, and labour
Scheduling appointments for our engineers
Preparing Job Packs / Calendar Appointments for engineer visits
Costing engineers time from weekly timesheets to a sales order
Basic quote preparation for remedial works
Using Servicelife to record all customer and site history
Answering the phones and responding to emails as required
Booking Hotels for engineers
Managing 'Van Stock' and returns
Other duties as required appropriate to the role
About you:
Previous experience in a similar role is desirable
Strong communication skills as you will be liaising with colleagues across the business as well as with clients on the telephone and via emails
Excellent numeracy and IT skills
Organised, accurate with a very high attention to detail
The ability to make decisions whilst working under pressure.
A proficient user of MS Office
