Role Overview:
We are seeking a highly organized and proactive Executive Assistant to support our Global Chief Operting office, based in our London Office. In this critical role, you will manage day-to-day operations, including diary management, travel planning, and a variety of other administrative tasks. You will be at the heart of our operations, ensuring that our executive can focus on what they do best—driving the company forward.
Key Responsibilities:
* Diary Management: Efficiently manage the executive's calendar, scheduling meetings, calls, and appointments, while prioritizing time-sensitive requests and ensuring there are no conflicts.
* Travel Coordination: Plan and organize complex domestic and international travel arrangements, including flights, accommodations, itineraries, and visas, ensuring seamless travel experiences.
* Administrative Support: Handle various administrative tasks such as preparing documents, managing correspondence, coordinating with internal and external stakeholders, and ensuring that the executive is fully prepared for all engagements.
* Meeting Preparation: Assist with the preparation and organization of meetings, including creating agendas, taking minutes, and following up on action items to ensure timely completion.
* Project Assistance: Provide support on special projects as needed, including research, data collection, and liaising with different departments within the company.
* Confidentiality: Maintain a high level of discretion and confidentiality when handling sensitive information.
* Office Coordination: Serve as a liaison between the executive and other team members, helping to foster a productive and collaborative work environment.
Skills and Qualifications:
* Proven experience as an Executive Assistant, Personal Assistant, or in a similar role within a fast-paced environment working at MD or C-suite level
* Exceptional organizational and time-management skills with the ability to multitask and prioritize effectively.
* Strong communication skills, both written and verbal, with the ability to interact professionally with stakeholders at all levels.
* High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software tools.
* Ability to work independently, anticipate needs, and make decisions with minimal guidance.
* Experience with travel coordination, including international travel logistics.
* A proactive approach with a keen attention to detail.
* Ability to maintain a high level of confidentiality and handle sensitive information with discretion.
