JOB PURPOSE
To provide administrative and secretarial support within the Maintenance department. To carry out the functions of the Manhattan Help Desk.
MAIN DUTIES AND RESPONSIBILITIES
Administrative and secretarial support
1. To act as initial contact between the Senior Maintenance Managers/Helpdesk Manager and the clients of the board, including principals, board members, officers from other boards, the department of education and other educational agencies and the general public.
2. To deal with incoming and outgoing correspondence of a general nature, including drafting responses and/or forwarding to the appropriate officer.
3. To set up and maintain a filing system for the maintenance officers.
4. To prepare and collate all relevant material for the maintenance department.
5. To word process letters, memos, reports and other documents, including those of a confidential nature.
6. To design, create and maintain databases, spreadsheets and other documents.
7. To prepare materials for the maintenance manager using appropriate software packages.
8. To complete the preparation of quotations and tenders.
Helpdesk Operator
9. To respond to all Helpdesk calls / emails / faxes received, ensuring that all communications are logged and actioned appropriately.
10. To operate Helpdesk software, monitoring customer use and software performance and informing Maintenance of actions required.
11. To maintain a professional Helpdesk service at all times, keeping customers informed of the progress of issues logged on the Helpdesk.
12. To complete the daily printing of all Manhattan works orders.
13. To contact Board contractors accordingly to calls logged on the Manhattan Helpdesk.
