Job Description
We are looking for a Building Manager to coordinate the day-to-day operational aspects of building management. The role involves ensuring compliance, safety, and customer-focused service in a staffed building. You will act as the first point of contact for occupier queries, working closely with our supply partners to manage maintenance and emergency works.
Core Responsibilities:
* Helpdesk Facility: Manage the CAFM system to ensure all work orders are authorised and updated correctly.
* Complaints: Respond to and resolve complaints quickly, escalating as necessary, and suggesting service improvements.
* Compliance: Ensure the building remains legally compliant, with timely inspections and repairs.
* Facilities Management Fees: Ensure all FM fees are correct, invoiced, and recovered.
* Ambassador: Deliver best-in-class service, adding personal touches that enhance the occupier experience.
* Health & Safety Risk Assessments: Oversee required risk assessments and ensure actions are managed promptly.
* Human Resources: Manage HR procedures, conduct performance reviews, and ensure a positive working environment.
* Insurance Claims: Manage incidents and claims, ensuring proper documentation and communication.
* Lease Requirements: Ensure tenant activity complies with lease agreements.
* Occupier Liaison: Handle occupier queries, liaise regularly to keep them informed and address issues.
* Payments & Invoicing: Manage purchase orders and authorise payment of invoices.
* Property Inspections: Conduct building inspections, providing reports and seeking improvements.
* Quality & Supervision: Oversee activities of direct reports and service partners, ensuring standards are met.
* Reactive Works & Helpdesk: Ensure occupiers are aware of the helpdesk service and monitor SLAs.
* Relationships: Build positive relationships with occupiers, surveyors, and service partners.
* Risk Management & Business Continuity: Develop and test major incident management plans.
* Service Charge: Manage budgets, reconciliations, and quarterly variance reports.
* Supplier Management: Oversee contractors and ensure compliance with safety and quality standards.
* Sustainability Management: Ensure sustainability reporting is completed on time and to the required standards.
Core Knowledge & Experience:
* Proven experience in Facilities Management.
* Strong leadership skills, with the ability to manage a small team.
* Understanding of commercial contracts and performance-based management.
* Experience in occupier and relationship management.
* Good working knowledge of CAFM systems and software.
* Ability to manage building costs, budgeting, and reporting.

* IWFM Level 4 Certificate
* H&S IOSH Certification
* Member of a professional body (e.g., IWFM, RICS)
