SOCOTEC UK Ltd’s Monitoring business is an engineering firm specialising in the installation of high quality geotechnical, structural and environmental instrumentation for monitoring earth, rock and concrete structures including dams, tunnels, embankments, retaining walls, piles and steel work for civil engineering works, mining projects and the railway infrastructure throughout the UK.
Role purpose
To provide administrative support to the Socotec Monitoring UK Teams through coordination of operational and office management activities.
The tasks you will undertake will include (but are not limited to):
* Liaise with subcontractors supporting building operations (cleaners, maintenance staff, landlord etc)
* Keep accurate records and coordinate the regular office mandatory inspections (fire safety, legionella etc)
* Support the planned office improvements and proactively look for additional areas to improve
* Ensure consumables stock is maintained
* Supporting internal Ops team with internal and external audit process (collating paperwork, records etc).
* Support ongoing updates of key business systems (expenses, timesheets, travel etc)
* New Starter Management (arrange on-boarding of new starters including IT, passes, coordinating inductions etc)
* Uploading vacancies on JobTrain
* Where required, be able to raise Purchase Orders on the SAGE purchasing system
* Support in invoice management of key areas
* Support Purchasing/Stores with purchasing process, ensuring that goods received are logged and invoices are processed correctly
* Management of industry subscriptions
* Support Central Marketing team and work with the Project Team to develop marketing materials and case studies
* Support with making arrangements for attending trade shows (stand logistics, accommodation etc.
To be successful in this role, you will be able to demonstrate:
* Excellent Microsoft Office / computer literacy skills
* Produce work in an accurate and timely manner
* Able to prioritise work and multi-task
