We have an exciting opportunity for an Administrator/Receptionist to play a vital role in providing support to BHT Sussex Advice Services.

Salary: £17,462 pro rata (Full-Time Salary £23,494)
Hours: 27½ per week, Monday to Friday 9am to 3pm (30-minute unpaid lunch break)
Contract: Permanent

About:
As an Administrator/Receptionist, you will be working for a people-led organisation whose mission and values is to inspire change across Sussex. BHT Sussex Advice provides specialist advice in housing, immigration, welfare benefits and money guidance. We have three offices in Eastbourne, Hastings and Brighton.
The main focus of the job is to provide a welcoming initial point of contact for people who are homeless or threatened with homelessness and need advice. The job will involve responding to enquiries (either via email, telephone or in person), providing information about the services we provide, taking initial details about people’s circumstances and then booking appointments. You will also be expected to know about related services which are available so you can signpost people who may not be eligible for support from BHT Sussex.
As well as booking and managing appointments, you will provide a range of administrative support to ensure the service runs effectively and efficiently.
The post is based at our office in Eastbourne, close to the railway station.
Key Responsibilities:
1. Respond to enquiries by phone, email or in person, ensuring they are responded to in a timely manner.
2. Provide information about the services offered by BHT Sussex Advice and other relevant services.
3. Make appointments for clients ensuring that required information is supplied prior to the appointment.
4. Maintain appropriate records on BHT Sussex’s case management system.
5. Assist with preparation of case files and claiming payments from the Legal Aid Agency.
6. Record and manage post, emails, telephone calls and personal callers to the office.
Person Specification:
To be successful in this role, you will need to have great communication skills and be committed to the values of BHT Sussex. Some of the key skills and experience you will need include:
1. Experience of frontline telephone reception and office administration.
2. Competent use of Microsoft software packages especially Word, Excel and Outlook.
3. Good communication skills (written and verbal) and the ability to adapt communication methods and styles to meet customer needs.
4. Experience of working in a customer-focused environment providing a high level of customer service.
5. Ability to work flexibly to meet the needs of the service and to embrace change and development of the service.
