We are looking for a highly organised and proactive Executive Assistant to provide support to the Chief Financial Officer and Chief Operating Officer within a fast-paced financial services environment. The successful candidate will have previous experience supporting senior finance executives, managing complex diaries, and handling key administrative responsibilities with professionalism and discretion and must have recent experience within financial services. Key Responsibilities: Manage incoming communications for the CFO & COO, ensuring appropriate actions are taken, including drafting responses or coordinating replies from relevant teams. Oversee diary management, paperwork, and travel arrangements for the CFO & COO. Schedule and manage meetings between the CFO, COO, and their management teams, including performance reviews for relevant colleagues. Act as Secretary for any sub-committees chaired by the CFO & COO, preparing meeting agendas, taking minutes, and ensuring follow-up on actions. Produce high-quality documentation, provide input when required, and assist with the preparation of Board papers. Propose and implement policies and procedures to enhance leadership support and improve efficiency within the business unit. Represent the CFO & COO’s office in a professional manner, managing communications on their behalf. Support the internal Performance Management process, scheduling review meetings and ensuring relevant documents are prepared and submitted on time. Skills/Attributes: Previous experience in financial services is essential. Proven experience as a PA/EA, particularly supporting senior finance executives (CFO/FD). Advanced Microsoft Office skills. Strong organisational skills, with the ability to streamline processes and manage workloads efficiently. Strong analytical skills. High levels of integrity, discretion, and the ability to handle sensitive information. Self-motivated, proactive, and able to work independently. Excellent communication and problem-solving skills. Working Hours: Full-time, with flexibility around working hours when required.
