We have a fantastic opportunity for potential candidates to join our Thoracic surgery team as a Clerical Officer. You will work closely with the Thoracic surgeons to ensure all clinics are fully utilized and prepped, while also being responsible for other admin duties such as opening and scanning the post/referrals and answering any telephone queries from staff and patients.
Main Duties of the Job
The successful candidate will be able to demonstrate excellent interpersonal and communication skills with the ability to forge and maintain relationships. The ability to manage a busy workload and demonstrate fantastic administration skills is essential. You will need to have a good telephone manner and be able to deal with challenging queries. A good knowledge of Microsoft Office is required, and any previous PAS experience would be beneficial.
About Us
The Thoracic team consists of three medical secretaries, seven surgeons, APSC, Admissions assistant, and two clerical officers. They are a close-knit team that works together to ensure the best possible care and outcomes for our patients. We expect a strong work ethic from the successful candidate.
It is imperative that the successful candidate can communicate effectively with staff at all levels while maintaining a professional work ethic.

Job Responsibilities
The Clerical Officer is expected to provide an efficient, effective, and accurate administration and reception service in line with the policy statements provided in the Trust's Patient Access policies, to support the delivery of high standards and cost-effective treatment for patients.
To work within the Trust's outpatient environments to facilitate the smooth and efficient delivery of the patient administration pathway from referral and throughout the outpatient process.

Principal Duties & Areas of Responsibility
* Process referral letters received from General Practitioners and other healthcare professionals in line with Trust Policies.
* Make appointments in a polite and helpful manner, following Trust Policies and local guidelines for clinic formats using the relevant Administration System.
* Ensure patients have appointments booked with the appropriate clinic according to their clinical needs and in chronological order.
* Arrange any special requirements for patients, including Transport and Interpreting Services, where appropriate.
* Record information on the relevant Trust's administration system including PAS, in an accurate and timely manner.
* Ensure all patient correspondence, including test results, are dealt with promptly.
* Respond effectively to telephone communications in a polite and helpful manner.
* Prepare Clinics ensuring any actions requested by the surgeon are completed in a professional and timely manner.
* Ensure all case notes are tracked to the appropriate location.
* Ensure patient information is accurately recorded on PAS.
* Ensure all follow-up clinic appointments are either booked on PAS or added to the appropriate outpatient waiting list.
