OCU Integrum are seeking an Operational Support Assistant to join their team in Stockport.
The Operational Support Assistant is a key role supporting the Head of Business Support in ensuring the smooth running of operational processes and initiatives within the business. This position is instrumental in delivering administrative, organisational, and analytical support to drive operational efficiency, enhance reporting accuracy, and facilitate the integration of new systems and acquired businesses.
The role offers the opportunity to contribute to a dynamic and growing construction organisation, while gaining valuable exposure to a broad range of business functions.
Duties and Responsibilities
Administrative Support
1. Provide comprehensive administrative support to the Head of Business Support, including scheduling meetings, preparing reports, and managing correspondence.
2. Maintain organised records of key documents, processes, and reports.
3. Assist with the preparation of presentations, data analysis, and operational updates for senior leadership.
4. Plan, manage and co-ordinate logistics, meetings (including minute taking) and other operational requirements as the business requires.
Operational Efficiency
1. Support the coordination and tracking of process improvement initiatives across the business.
2. Assist in documenting workflows, policies, and procedures to ensure consistency and alignment with company standards.
3. Monitor and follow up on the progress of operational projects and initiatives.
Reporting and Data Management
1. Collect, organise, and consolidate data from various departments to support consistent and accurate reporting.
2. Assist in generating regular performance reports, ensuring data integrity and alignment with key performance indicators (KPIs).
3. Work with relevant teams to address discrepancies and improve reporting processes.
Business Administration
1. Handle day-to-day business administration tasks, including document management, filing, and archiving.
2. Support procurement processes by coordinating supplier documentation, purchase orders, and approvals.
3. Assist in managing budgets, invoices, and expense tracking, ensuring timely processing and compliance with company policies.
4. Act as the first point of contact for internal and external queries related to operational and administrative matters.
Support for Business Integration
1. Provide administrative and logistical support for the integration of newly acquired businesses.
2. Assist with the alignment of processes, systems, and reporting between the parent company and acquired entities.
3. Track integration milestones and ensure timely communication of progress.
Skills and Experience
Education:
1. A-Level or equivalent qualifications required. A degree in Business Administration, Operations Management, or a related field is desirable but not essential.
Experience:
1. Previous experience in an administrative, business administration, or operational support role, preferably within the construction or related industries.
2. Familiarity with reporting, data management, and business systems is an advantage.
Skills:
1. Strong organisational and time-management skills with the ability to handle multiple tasks simultaneously.
2. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
3. Excellent communication and interpersonal skills.
4. Analytical mindset with attention to detail.
5. Ability to work collaboratively in a team-oriented environment.
