About this opportunity
An exciting opportunity has arisen to join us in the Group Finance Support and Finance Data & Analytics team (GFS & FDAO), a key function within the Finance community of LBG with c. 550 colleagues, as the Personal Assistant (PA) to the Divisional Finance Director (DFD).
You'll be the first point of contact for the team, providing secretarial and administrative support across varied tasks, whilst developing and maintaining strong relationships. This role involves a high level of prioritisation, diary, and inbox management, as well as collaborating across a wide network. You'll need to work with a range of senior stakeholders, both internal and external.
It is a fast-paced work environment, and you should be highly motivated and work well under pressure. We are committed to embracing a hybrid way of working, with at least 3 days in the office at our Edinburgh City Centre Hub.
There may also on occasion be some travel involved.
Day to day, you will:
* Sophisticated diary management of a demanding and fast-paced calendar. Coordinate meetings and events to achieve optimum time efficiency, as well as producing comprehensive information including agendas and briefing notes.
* Effective and proactive management of the Executive's inbox, reviewing incoming emails and flagging urgent items as appropriate.
* Work closely with the team, always aligning to the priorities of the Executive.
* Arrange travel requirements, adhering to the travel policy and budget.
* Carry out a wide range of activities including team changes on Workday, expenses, invoices, electronic filing, resolving IT issues.
* Ensure day to day management, including record keeping, is kept to a high standard and is in line with the Executive Handbook, Group Policies, and standards.
* Accomplish work objectives by determining own work schedule and assigning short term tasks to others if necessary.
* Identify, monitor, and mitigate risks, calling out where appropriate.
* Use own initiative and judgement from knowledge of key issues as to what action needs to be taken and when more complex issues require escalation.
