Wood is recruiting an Office Administrator based at our Glasgow office. This is a 6 month fixed term contract.,
* To complete reception duties efficiently and to provide a professional and positive welcome to all visitors, clients, and other Wood personnel.
* To issue visitor lanyards and ensure all persons signed in/out, in accordance with protocols.
* To act as focal point for new starts, by providing induction and overview of office systems and processes.
* To deal with enquiries, by email, telephone and in person, and to ensure accurate information is passed to the relevant parties in a speedy manner, maintaining confidentiality at all times
* To maintain a neat and tidy reception area, ensuring relevant information readily available for visitors
* To maintain desk / meeting room booking system
* To arrange hospitality for external visitors
* To be responsible for incoming and out-going post including all franking of post
* To update and maintain email distribution lists and send emails to various 'groups' in line with policy and procedure.
* To act as focal point for building management related matters.
* To champion well being and HSE initiatives within the office
* Schedules appointments and coordinates arrangements for meetings
* Prints, organises and prepares information for meetings
* Arranging travel/accommodation/car hire
* Organizes and expedites flow of work through office and initiates follow up action
* Support in collecting information and data for reporting
* Populates templates and creates documents
* General office housekeeping activities as required
Proven experience in an administrative support role, preferably within a finance, project-oriented environment or a similar industrial setting
* Proficiency in using office productivity tools such as Microsoft Office (Word, Excel, PowerPoint & PowerApps)
* Experience using SAP would be advantageous but is not essential.
* Strong attention to detail and organisational skills to manage multiple tasks and priorities effectively.
* Excellent communication and interpersonal abilities to collaborate with cross-functional teams and stakeholders.
