Job Description
Job Type: Full Time
Salary: £30,000
Main Purpose:
* Account manage and contract all Royal College of General Practitioners (RCGP) events for internal and commercial spaces at 30 Euston Square.
* To plan and execute all Commercial meetings, conferences, events and exams allocated from the Senior Events Manager
* To ensure correct allocation of rooms/suites, and corresponded/deadline within agreed timeframes.
* To create, complete and have ownership of all Banqueting Event Orders (BEO’s) – detailing all event requirements from start to finish.
* To ensure that all BEO correspondence is dealt with promptly and communicated effectively to departments and partners.
* To assist with function sheets requirements including audio visual equipment, flowers, linen and entertainment (where necessary) and obtain quotations to send to clients for confirmation.
* To quote and negotiate with suppliers for audio visual, flowers, linen and entertainment (where necessary).
* To help oversee the banqueting diary (Delphi) ensuring that all information is accurate, up to date and that all the correct revenue has been inputted.
* Assistance in copying and distribution of the weekly BEO’s to all relevant parties.
* To comply with all legal requirements with particular reference to (but not exclusively) fire regulations, security, licence requirements and any Local Authority or Client stipulations.
* To attend all meetings and training courses as requested by the Senior Event Manager.
* To carry out any other reasonable duties as required achieving the objectives and targets of the sales and events team.
* Maintain good working relationship with other RCGP colleagues and other Searcys sites.
* Any other reasonable request by management.
Qualifications
* 1 year of experience within a similar role
* Meticulous administration and prioritisation skills
* Excellent communication skills (internally and externally)
* Proactive and excellent time management
* English Language - fluent or bilingual proficiency
