Role summary
The Studio Operations Assistant provides operational and administrative support to the Operations Manager.
They are responsible for and provide the day-to-day contact for client requests with the Studio Management Department, providing assistance in key areas such as the mail room and reception where required, alongside other various operational tasks that support the department.
Principle accountabilities
* Assist in supporting the business Alterations Request and Loc8 job logging process, collecting relevant information from Productions, Tenants and Customers, and providing them with the paperwork and process required.
* To provide first class customer service and act as the first point of contact for the Operations Department. Supporting other departments when required.
* Checking and ordering stationary when required.
* Support the raising, tracking and completion of departmental purchase orders, providing budget support when required.
* Coordinate and track all site wide communications for the Operations Facility Services and Projects Departments, ensuring that the Comms Strategy is adhered to.
* Provide the wider Operations department with regular relevant and detailed information to allow for the planning and execution of both PPM and reactive works.
* Support the Operations Supervisors / Duty Managers and Operations Manager in the identification of any Health and Safety concerns or violations.
* Produce and email the daily schedule by 16.00 each day, liaising with relevant department to ensure information is correct and up to date.
* Oversee the management of the key system across the estate, ensuring records are kept up to date, stock is managed and recharges for damaged of lost items are processed.
* Reporting of damage to studio facilities, fixtures and fittings. Reporting security issues or illegally parked cars, blocked fire hydrants and exits etc.
Nature and scope
The Studio Operations Assistant’s time is spent across several key areas of business: Coordinating the Site Wide communications for the Operations Facility Services and Projects Departments, overseeing the communication access requests across the business and key production/tenant stakeholders.
The role requires excellent understanding of the Studio and its operations. Maintaining strong relationships and active communication channels with clients and stakeholders is key to ensuring that all parties have a clear and detailed understanding where activity sits within its designed process.
Skills And Experience
Essential criteria
* Proven experience of having provided exceptional customer service
* Literate in Microsoft 365, namely Word & Excel
* Customer service mindset. Must be confident and professional when dealing with customers and able to interact with clients and staff of all levels and members of the general public
* Highly organised, shows initiative and capable of taking responsibility without supervision.
Desirable criteria
* Industry experience preferred but not essential.
