We are looking to recruit a Scheduling Coordinator on a permanent basis to support our Community Dental team based at Clarendon in Hebburn.
The post holder will join a team of administrative support staff who provide essential administrative functions, whilst interfacing with clinical and administrative staff, patients and the general public. The service is fast-paced, and you would be expected to carry out a variety of administrative tasks with the main priority of managing dental waiting lists and booking patients' appointments within appropriate timescales.
Candidates must be able to demonstrate they have the ability to communicate effectively with people at all levels by telephone and in person. Excellent organisational skills, flexibility, and time management are also essential.
The successful candidate should have excellent keyboard skills and a working knowledge of software packages and IT systems.
Please note there may be an occasional requirement to cover out in the clinics on reception as required within various locations across Sunderland, South Tyneside, and Gateshead.
Working Hours: 33.5 hours per week:
Thursday 08.30-12.00

Main duties of the job
The successful candidate will be hard-working and patient-focused. They should also be organised and have the ability to prioritise their workload without direct supervision. Candidates should have experience in using various IT systems.
There is an expectation to work between the hours of 8.30 am and 5.00 pm Monday to Friday. The successful candidate will need to have a flexible approach to work and be adaptable to service needs as in times of shortfalls there will be an expectation that they cover clinics at either South Tyneside, Sunderland or Gateshead.
The successful candidate should have excellent communication skills with attention to detail, ensuring accurate and timely inputting/updating of patient details, appointments, and information into clinical records.

Job responsibilities

To co-ordinate the outpatient scheduling processes, for a directorate/number of specialties, on a day-to-day basis.
To co-ordinate and manage the inpatient waiting lists within the Dental Service, ensuring patients are booked pre-assessment appointments as required, liaising with the pre-assessment scheduling team.
To ensure that appropriate procedures and Trust Policies are adhered to at all times and that national standards and RTT performance targets are met.

Experience
* Vocational experience working in an NHS booking office.
* Familiar with medical terminology related to elective referrals on RTT pathways.
* Working in a customer-focused/service environment.
* IT Skills and demonstrate experience in word processing, spreadsheets, and databases.
Skills and Knowledge
* Effective organisational skills.
* Able to work without supervision.
* Use of Meditech PAS, NHS e-Referral System.
Qualifications
* GCSE Maths and English C or above, or equivalent.
* Level 3 qualification in administration or other relevant subject or equivalent vocational experience which provides a working knowledge of:
* Prioritising patients using a waiting list.
* Basic medical terminology linked to referrals for elective patients on RTT pathway.
* Knowledge of Meditech.
* Knowledge of Emis.
