What we're looking for
We are seeking a dynamic People Operations Assistant to join our team and help drive our operational excellence as we continue to grow.
We are looking for a professional and organised individual to join our team in a pivotal brand-new role, working closely with the Founder and small team of People Directors. You will be providing vital administrative and operational support. You’ll quickly become the backbone of the office, getting involved in all areas of the business, including admin, operations, marketing, sales, and HR operations.
This new role is perfect for a proactive, flexible team player with excellent operational back-office skills.
What you will be doing
This position involves a blend of administrative and HR responsibilities to support our business and clients effectively.
Key Responsibilities
People Administration
* Manage and maintain contracts, letters, and policies
* Support with HR duties and employee relations
* Assist with creating and updating people-related documents, including employee handbooks and contracts
* Ensure compliance with employment legislation and company policies
* Assist with day-to-day HR operations, including recruitment, onboarding, and employee relations
* Maintain accurate and up-to-date employee records and HR database
* Support the administration of employee benefits, payroll, and leave management
* Coordinate and schedule interviews, meetings, and training sessions
* Assist in the preparation of HR documents, such as employment contracts and policies, ensuring regular reviews and updates
* Respond to employee inquiries and provide general HR support
* Ensure compliance with UK employment law and company policies
Administrative Support
* Manage commitments, coordinate projects, and facilitate administrative tasks
* Attend meetings to take minutes, notes, and actions
* Manage personal and work diaries
* Generate timesheets
* Generate invoices and assist in supporting administrative duties
Client and Project Support
* Manage the administration of the client inboxes
* Assist with briefs, arrange events, and handle planning
* Manage networking events and keep up to speed with various social events
* Ensure documents are consistent with company branding
* Write and maintain process documents
* Use Canva to create branded designs for clients
* Keep a tracker on client activity and ensure all actions are followed up
Marketing and Communication
* Create presentations and prepare marketing materials
* Write newsletters, blogs, and award submissions
* Manage LinkedIn posts and other social media platforms
* Generate email campaigns for potential new customers
* Research potential new clients and conduct market research
* Update the website and maintain branding consistency

Skills and Experience
* Proven experience in a similar role
* Strong proficiency in Microsoft Office applications, Canva, Trello, Jira, and social media platforms (TikTok, LinkedIn, Instagram, YouTube)
* Ability to multitask and prioritise in a fast-paced environment
* Excellent communicator with strong interpersonal skills
* Excellent attention to detail and organisational skills
* Strong command of the English language
* Discretion and tact
* A self-starter
* CIPD level 5

Salary: £26,000- £30,000 depending on experience
