Description The Senior Office manager has overall responsibility for running Costain’s Head Office on a daily. In addition to performing their own role, they are also responsible for overseeing a team of 2 Business Adminstrators based at the office and 2 Office Administrators based at 2 smaller regional offices, Maidenhead and Worle. They will be responsible for overseeing administrative and Facilities functions within the Offices. Their responsibilities include managing visitor experience, managing office supplies and equipment, overseeing contractors carrying out maintenance, repairs and inspections, running the office expenditure budgets, ensuring compliance with all relevant Health and Safety standards and Costain policies. LI-JK1 Responsibilities Liaising closely with the Group Facilities Manager to report any maintenance matters, monitoring to ensure remedial work is undertaken promptly,safely and in accordance with Costain’s policies Line management responsibility for the Business / Office Administrators who provide concierge style meet and greet service to visitors and support for EA / PA community Assisting visiting clients, providing them with the reasonable resources they may need during their visit Management of Costain desk booking App, acting as a system ‘Super User’. Fielding questions raised Costain office users, assisting them in their use of the office and equipment such as phones and printers Assisting Costain teams using the office for training and events, including room configuration, meeting supplies and catering Management of all office supplies Management of incoming and outgoing mail and courier services Onboarding new suppliers. Raising and goods receipting purchase orders and invoices within the Costain supplier system. Organisation of events based around promotion of well-being and team bonding Performing inspections of facilities to identify areas which may need repair Provide H&S support by way of First Aid, Fire Warden and Mental Health First Aid Duties Knowledge, Skills, and Experience Essential Proactive and organised Effective time management and problem solving skills Proven experience as a Senior Office Manager / Facilities Coordinator Previous experience as a line manager Proficient in the use of Microsoft office packages including Word, Excel and Outlook Experience in operating building management systems The ability to communicate effectively and professionally with colleagues, contractors and key stakeholders. Qualifications Essential Good level of general education, educated to ‘A’/HNC Level as a minimum or equivalent with demonstrable written and numerical skills A professional qualification in facilities management (IWFM Level 3) A qualification in health & safety (NEBOSH, IOSH) Desirable First Aid at Work Fire Warden
