Job Title: Operations Project Coordinator
Key Responsibilities
1. Project Coordination and Administration:
Assist in the development of the project plan, helping to define tasks, milestones, and deadlines.
Maintain project schedules, ensuring that key deadlines are met by tracking progress against the project plan.
Coordinate meetings, prepare agendas, and track follow-up actions.
2. Communication and Stakeholder Support:
Serve as a liaison between project teams, external vendors, and internal departments, ensuring clear and consistent communication.
Provide regular status updates and reports to project leaders, senior management, and key stakeholders.
Handle inquiries and requests from various departments to facilitate smooth coordination.
3. Documentation and Reporting:
Maintain thorough and accurate documentation of the project’s progress, including action items, timelines, and task assignments.
Assist in creating project reports and presentations for stakeholders.
Keep track of important documentation such as contracts, permits, and vendor agreements to ensure everything is in order.
4. Risk and Issue Tracking:
Assist in identifying potential risks or delays and escalating them to project leaders or managers.
Track and document any issues that arise during the move, coordinating with relevant teams to resolve problems efficiently.
5. Budget Tracking:
Assist with monitoring project expenditures, ensuring that costs are within the established budget.
Work closely with finance or procurement teams to track invoices and payments to vendors.

6. Project Management Support: Familiarity with project management tools and techniques (experience with project management tools such as Critical path, Gantt charts, Risk assessment & Scheduling).
Non Negotiables
1. Experience: 3-5 years of experience in a coordination role, preferably in project management, Operations or Logistics.
2. Basic understanding of budgeting and vendor management.
