We’re looking to recruit a professional, and experienced Sales & Estimating Office Manager to manage the workflow of the sales & estimating process, take line management responsibility for the Sales & Estimating team and provide high level administrative support.
Reporting into the Sales & Estimating Director, this is a newly created role to provide structure and accountability to our sales & estimating team as we continue our journey of growth. We’re looking for a talented individual with experience in a similar office management role – whether you are on a rapid personal growth trajectory at the start of your career, or more seasoned in your field, we’d like to hear from you.
You will be responsible for a growing team of qualified and experienced technical estimators as well as a departmental administrator. We’re clear on what we need you to come and do but are excited to hear what ideas you have to improve the way we do business.
The Sales & Estimating department within our business is responsible for dealing with and responding to customer enquiries, producing quotes and receiving and managing orders into the business.
Responsibilities
* Take initial enquiries and qualify through communication with the customer the initial details to allow the estimating team to understand the overview scope.
* Support the development of and own the sales CRM database ensuring new enquiries are entered, and all enquiries are always up to date.
* Produce management reports and attend regular meetings with management and senior management to present and discuss these reports.
* Take responsibility for the effective communication of queries to and from the Sales & Estimating team and senior management.
* Ensure enquiry status is always understood through regular follow up with customers – either completing this yourself or ensuring the team are following up as required.
* Communicate clearly with other departments the status of enquiries applicable to them, to allow them to plan accordingly.
* Manage the workflow within and out of the Sales & Estimating team once an order has been received to ensure accuracy and timeliness are constantly improved, and look for and implement opportunities for improvement within this process.
* Ensure project handover meetings are prepared for and scheduled, and chair these meetings in the absence of the Commercial Director.
* Proven experience in managing a team of professionals in an office environment.
* Highly computer literate with exemplary communication skills.
* Experience of sales and estimating processes.
* CRM experience will be highly advantageous.
